Santra Tours UK Ltd operates as a transport operator in the UK. By engaging our services, you agree to adhere to the following terms and conditions. These terms govern the relationship between Santra Tours UK Ltd and its clients, ensuring a smooth and enjoyable experience for all parties involved.1. Definitions
- "Santra Tours": Refers to Santra Tours UK Ltd, the transport operator company based in the United Kingdom.
- "Client": Refers to the individual, agent, or entity engaging the services of Santra Tours.
- "Vehicle": Refers to any coach, minibus, or other transportation vehicle provided by Santra Tours for the purpose of the tour or transportation service.
- "Booking": Refers to the reservation made by the client for Santra Tours services.
- "Itinerary": Refers to the proposed schedule of the tour or transportation services.
2. Booking and Confirmation
- All bookings are subject to availability and confirmation by Santra Tours.
- Prices quoted are subject to change until the booking has been confirmed.
- Santra Tours reserves the right to refuse any booking without providing a reason.
- Itinerary approval is required from the client before confirmation of the booking.
3. Payment Terms
- A 30% deposit is required at the time of booking to secure the reservation.
- Full payment must be made 14 days prior to the commencement of the tour or transportation service.
- Payment can be made via bank transfer, credit/debit card, or any other method agreed upon by both parties.
- Overtime charges will be calculated separately and must be paid immediately upon completion of the journey.
4. Cancellation Policy
- Cancellations made by the client will result in the forfeiture of the deposit.
- Cancellations made within 14 days of the scheduled tour date will result in a cancellation fee of 30% of the total booking cost.
- Santra Tours reserves the right to cancel the booking at any time due to unforeseen circumstances. In such cases, a full refund will be provided to the client.
5. Liabilities and Unforeseen Circumstances
- Santra Tours shall not be liable for any loss, damage, injury, delay, or inconvenience caused by circumstances beyond its control, including but not limited to:
- Acts of nature (e.g., floods, storms, earthquakes, etc.).
- Weather conditions, traffic congestion, or road closures.
- Mechanical breakdowns or vehicle malfunctions.
- Government regulations, strikes, or other unforeseen events.
- Santra Tours shall not be liable for any loss or damage to personal belongings left in the vehicle during the tour.
- Clients are responsible for obtaining their own travel insurance to cover any unforeseen circumstances, including cancellations, delays, or medical emergencies.
6. Airport Arrival and Meet & Greet Services
- Airport arrival and meet & greet services are available upon request and subject to additional charges.
- Clients must provide accurate flight details and arrival times to ensure timely pick-up arrangements.
7. Rights and Usage of Vehicles
- Santra Tours reserves the right to provide a vehicle of a similar category to the one specified in the booking, depending on availability.
- Clients must adhere to the designated seating capacity and safety regulations of the vehicle at all times.
- Smoking, eating, drinking alcoholic beverages, and the use of illegal substances are strictly prohibited inside the vehicle.
- Santra Tours reserves the right to refuse service to any client who violates these terms and conditions or engages in disruptive behaviour.
8. Damage to Vehicles and Cleaning Charges
- Clients are responsible for any damage caused to the vehicle during the tour or transportation service.
- Clients will be charged for any additional cleaning required due to excessive mess, vomiting, or spills.
- Cleaning and repair charges will be invoiced within 7 days of the incident.
9. Health and Safety
- Participants are responsible for ensuring they are in good health and fit to travel.
- Santra Tours will not be liable for any medical expenses incurred during the tour.
- Participants with pre-existing medical conditions must inform Santra Tours prior to booking.
10. Vehicle Breakdown
- In the event of a vehicle breakdown, Santra Tours will make every effort to provide an alternative vehicle or arrange for repairs as quickly as possible.
- Santra Tours shall not be liable for any delays, inconveniences, or additional costs incurred due to a vehicle breakdown.
- Clients are advised to have travel insurance to cover any unforeseen delays or disruptions.
11. Complaints and Disputes
- Any complaints or disputes must be reported to Santra Tours immediately for resolution.
- An incident report must be completed by all concerned parties and will be dealt with within 7 days.
12. Force Majeure
- Santra Tours shall not be liable for any failure or delay in performing its obligations under these terms and conditions due to circumstances beyond its reasonable control.
- In such cases, Santra Tours will make reasonable efforts to provide alternative arrangements or refunds.
13. Indemnity Clause
- The client agrees to indemnify and hold Santra Tours, its employees, and affiliates harmless from any claims, losses, damages, or liabilities arising from the use of Santra Tours services.
14. Data Protection
- Santra Tours collects personal data (such as names, email addresses, and phone numbers) for booking and operational purposes.
- Data is stored securely and only shared with third parties when necessary for booking or legal requirements.
- Clients have the right to access, rectify, or request the deletion of their data.
- Santra Tours complies with the UK General Data Protection Regulation (UK GDPR).
15. Governing Law
- These terms and conditions shall be governed by and construed in accordance with the laws of the United Kingdom.
